Euditoria helps students research, apply to, and settle into universities abroad. This Privacy Policy explains what Personal Information we collect through our website and Services, why we collect it, how we use and share it, and the choices and rights you have.
"Personal Information" is any information that identifies you directly, such as your name or email address, or indirectly, such as a device identifier.
By using Euditoria's website or Services, you agree to the practices described in this Policy.
1. Information We Collect
We collect Personal Information directly from you, and automatically through your use of our website and Services.
Information you provide
- Account information: name, email address, and password when you create an account.
- Academic & application profile: education history, test scores (e.g. IELTS/TOEFL), degree and program preferences, budget, and other details you enter to be matched with universities.
- Documents: transcripts, diplomas, passport copies, personal statements, and other files you upload to your document vault to support an application.
- Application data: which universities and programs you select, and the status of each application.
- Communications: messages you send us, including university correspondence you forward to your Euditoria inbox address so we can track your application status.
- Payment information: if you book a consultation or order one of our paid services, our payment processor collects your billing details. We do not store your full card number.
Information from Google Sign-In
If you choose to sign in with Google, Google shares your name, email address and profile picture with us. We use this information only to create and secure your Euditoria account and to pre-fill your profile. We do not request access to your Gmail, contacts, Google Drive or any other Google data.
We do not sell Google user data, use it for advertising, or share it with third parties other than the infrastructure providers listed in Data Retention & Storage. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can remove Euditoria's access at any time in your Google Account (Security โ Third-party apps & services) and ask us to delete your account.
Information we collect automatically
- Usage data: pages you visit, features you use, and how you interact with the platform.
- Device & technical data: browser type, operating system, and IP address.
- Cookies: see the Cookies section below.
We only ask for the information we need to match you with universities, process an application, or provide the Service you've requested.
2. How We Use Your Information
- Account & profile management: creating and maintaining your account, and letting you enter your information once instead of re-filling forms for every application.
- Matching & recommendations: analysing your academic profile to calculate an admission probability score and recommend universities and programs.
- Application processing: preparing, auto-filling, and (where we have a partner agreement with the university) submitting your application, and tracking its status โ including parsing university emails you forward to your Euditoria inbox address, so status updates don't require manual entry. Any status change we detect this way is shown to you as "needs confirmation" before it's treated as final.
- Task & reminder management: keeping your application, visa, and adaptation tasks and deadlines in one place, and sending you reminders (including via calendar/ICS subscription, if you enable it).
- Payments: processing consultation bookings and paid service orders through our payment processor.
- Communicating with you: responding to your questions, sending Service-related updates, and โ only with your consent โ marketing communications.
- Improving our Service: understanding how the platform is used so we can fix issues and build better features.
- Safety, security & compliance: preventing fraud and abuse, and meeting our legal obligations.
3. Sharing Your Information
We do not sell your Personal Information. We share it only in the following circumstances:
- Universities you apply to: with your consent, we share your application materials and supporting documents with the universities and programs you choose to apply to.
- Service providers: companies that help us run the Service, such as cloud hosting, email delivery, and payment processing. These providers may only use your data to perform services for us.
- Legal requirements: if required to comply with the law, respond to a valid legal request, or protect the rights, safety, or property of Euditoria, our users, or others.
- Business transfers: if Euditoria is involved in a merger, acquisition, or asset sale, your information may transfer as part of that transaction, subject to the protections of this Policy.
4. Data Retention & Storage
We keep your Personal Information for as long as your account is active, or as needed to provide the Service โ for example, while an application you submitted is still being processed by a university. We may retain some information for longer where required for legal, accounting, or fraud-prevention purposes.
Where your data is stored. Your account, profile, quiz results, contact requests and uploaded documents are stored with our infrastructure provider Supabase, on servers in the European Union (Frankfurt, Germany). Uploaded documents are kept in private storage that only you and authorised Euditoria staff can access. Our website is delivered through Cloudflare.
You can request deletion of your account and data at any time โ see Your Rights below.
5. Security
We use reasonable technical and organizational measures to protect your Personal Information against loss, misuse, and unauthorized access. No online service can guarantee absolute security, but we work to continuously improve our safeguards as Euditoria grows.
6. Your Rights
Depending on where you live, you may have rights under laws such as the GDPR (EU/UK) to:
- Access the Personal Information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your Personal Information ("right to be forgotten"), subject to any application or legal process still in progress.
- Restrict or object to certain processing of your data.
- Port your data to another service, where technically feasible.
- Withdraw consent at any time, for processing based on consent (this won't affect anything we did before you withdrew it).
To exercise any of these rights, contact us at [email protected]. We'll respond within a reasonable time. If you're not satisfied with our response, you have the right to lodge a complaint with your local data protection authority.
7. Cookies
We use cookies and similar technologies to keep you logged in, remember your preferences (like your language selection), and understand how visitors use our website. You can control cookies through your browser settings; disabling them may affect how parts of the site work.
8. Automated Decision-Making
Euditoria uses your academic profile to calculate an admission probability score and recommend universities. This helps guide your search โ it does not make a final admission decision on its own. Universities always make their own admission decisions.
9. Changes to This Policy
We may update this Policy as our Service and legal obligations evolve โ including once we complete formal incorporation. The current version will always be available at this page, with the "Last Updated" date above. We won't materially reduce your rights under this Policy without telling you first.
